BOOKING

Q: Must my event be approved by the MTA before a deposit for Vanderbilt Hall (or the Northeast Balcony) is made?
A: Yes, all events must be approved by the MTA before Jones Lang LaSalle can confirm your reservation. A proposal letter must be submitted regarding your event. Once we are in receipt of your proposal letter, the approval process usually takes about 5 business days. Your reservation hold will remain in place during the approval process. A 50% non-refundable deposit is due no later than two weeks following the MTA acceptance of the event proposal.

Q: How long will dates remain on hold without a deposit?
A: If we do not hear back from you within two weeks, your name will be erased from the booking calendar. Dates are held for two weeks or until another client wishes to book the date. If another client is prepared to make a deposit, the first hold is given two (2) business days to make a deposit.

Q: If I book half of Vanderbilt Hall for my event, can another client book the other half?
A: Yes. The only way to guarantee that you are the only client in Vanderbilt Hall is to book the full room.

HOURS/TIMING

Q: What are Vanderbilt Hall (and the Northeast Balcony)’s hours of operation?
A: Vanderbilt Hall (and the Northeast Balcony) is open daily from 5:30 AM until 1:30 AM.

Q: What time can Vanderbilt Hall be closed off to the public for a private event?
A: 5:00 PM.

Q: Can an event continue past Grand Central’s closing time of 1:30 AM?
A: Yes, for additional fees. Fees vary depending on specific times and needs.

LIGHTING/DECOR

Q: Is use of an approved lighting, audio/visual, floral, or event designer required?
A: No, but we are happy to recommend, upon request, companies that have successfully worked in Vanderbilt Hall (or the Northeast Balcony).

Q: Can the chandeliers in Vanderbilt Hall be dimmed for events?
A: Yes. An additional labor fee for a Metro North electrician may apply.

FIRE POLICY

Q: Are candles permitted in Vanderbilt Hall (or the Northeast Balcony)?
A: No. No candles of any kind are permitted in Grand Central Terminal.

Q: Is smoking allowed during private events?
A: No. Smoking is not allowed at any time for private or public events in Vanderbilt Hall (or the Northeast Balcony) or in Grand Central Terminal.

ADDITIONAL VENUES

Q: Are Vanderbilt Hall and the Northeast Balcony the only space available in Grand Central for a special event?
A: No. For private events, please see the list of special event contacts for Grand Central’s restaurants.

Q: Can I hold my event on the Main Concourse (underneath the Sky Ceiling)?
A: No.

PAYMENT/CONTRACTS/DEPOSIT

Q: Does a deposit check guarantee my reservation for Vanderbilt Hall (or the Northeast Balcony)?
A: Yes, once your event has been approved by the MTA, your deposit check guarantees the used of Vanderbilt Hall (or the Northeast Balcony), subject to the signing of an original permit/contract. The signed, original permit/contract is required prior to load-in of your event. To produce a permit/contract, the following must be submitted to Jones Lang LaSalle 30 days prior to load-in of event.

  • Load-in/load-out schedule (inclusive of time/date)
  • Event schedule (inclusive of time/date)
  • Number of guests/visitors planned or expected
  • Floor plan for event
  • List of all electrical requirements including amperage needs and locations

Q: Do you accept Bank Wire Transfers or Credit Cards as payment?
A: No. Only certified checks are accepted. Your certified check must be trackable, therefore, we do not accept checks sent via U.S. Mail. Please send via Federal Express, U.P.S. or Messenger Service ONLY. All certified checks must be sent to the following address. Please note, all addresses must clearly state: Attn: Marketing Department, Hall 2A.

ADDITIONAL SERVICES/ DIRECT COSTS

Q: What are the electrical capacities for Vanderbilt Hall and where are the circuits located?
A: There are 80 (80 ) sixteen (16) amp circuits within the floor of Vanderbilt that are available for use free of charge (following Metro North Electrical approval). Additional power (up to 400 amps) is available for additional fees.

Q: How are the additional fees for direct services determined?
A: Direct fees for additional services such as auxiliary electrical power (other than floor electric), forklift usage, fireguards, customer service representatives and other services are based on hourly union wages for straight time and overtime. A price estimate will be given once schedules for load-in, timing of actual event, number of expected guests and power requirements have been submitted to Jones Lang LaSalle. Payment based on the estimate is due prior to the service being provided. Once the actual bill is received from the union, additional payments may be required or a refund will be issued.

Q: When are fireguards or customer service representatives required at an event?
A: Private events require fireguards; generally public events do not require fireguards. Customer service representatives are required when Vanderbilt Hall is closed off to the public to redirect commuters.

Q: Can telephone lines or ISDN Internet connections be provided for events?
A: Yes, in Vanderbilt Hall. It is the permittee’s responsibility to arrange services with Verizon directly by calling (212) 890-2700. Telephone service is provided through existing jacks located in the floor of Vanderbilt Hall (see phone location plan). All installation and usage charges must be paid directly to Verizon. Jones Lang LaSalle will provide the jack information to the permittee. Please allow at least 3 weeks for this process to be completed. Jones Lang LaSalle and Metro-North are not responsible for any delays caused by Verizon.

CATERING

Q: Can I use a different caterer than the approved caterers on the list provided?
A: No.

Q: Do you have a kosher caterer?
A: Yes. Several of our approved caterers can supply you with kosher cuisine.

FACILITIES

Q: Is there secure storage space available before or after my event?
A: No. The only storage available is space that you section off within Vanderbilt Hall (or the Northeast Balcony) and provide your own security to protect.

Q: Is there a water hook-up available?
A: Yes, in Vanderbilt Hall. It is located near the private restrooms on the East Side of Vanderbilt Hall. (Please note that Housekeeping services may be required to maintain this connection, at the cost of the Permittee.)

Q: Is there a kitchen in Vanderbilt Hall (or the Northeast Balcony)?
A: No.

Q: Where is the nearest parking garage?
A: Edison Park Fast’s Grand Central Garage is located on East 44th Street between Madison Avenue and Vanderbilt Avenue. From Madison Avenue, make a right turn onto East 44th Street. It is the first parking garage on your right. Please contact them directly at (212) 697-1814 for pricing information. A list of additional garages is available upon request.

Q: Are automobiles permitted in Vanderbilt Hall (to promote sponsorship of an event)?
A: Yes. (If interested, please request the Policies for Displaying a Vehicle in GCT.)

Q: What happens to the train monitor in the center of the Vanderbilt Hall walkway during an event?
A: During private events when Vanderbilt Hall is closed to the public, the train monitor can moved outside of Vanderbilt Hall for an additional fee. During public events open to the public or half room events it must remain in the public walkway.

Q: Are private bathrooms available?
A: Yes, in Vanderbilt Hall. There are private bathrooms located on the East Side of Vanderbilt Hall. There are four stalls and sinks in the women’s bathroom and four stalls and sinks in the men’s bathroom. Hanicap accessible bathrooms are located in the Lower Level Dining Concourse. There are no private bathrooms available for the Northeast Balcony.

Q: What is the ceiling height of Vanderbilt Hall?
A: 40 feet; 22.5 feet to the bottom of the chandeliers.

Q: Is the Vanderbilt Hall architectural plan layout in CAD format?
A: Yes, it is available upon request.

HOUSEKEEPING SERVICES

Q: Do you provide housekeeping services?
A: Yes. Housekeeping services are available. Fees vary depending on services required.

Q: Do you provide trash removal?
A: All items brought onto premises must be removed by Permittee before the end of the load-out. Trash removal may be arranged through Jones Lang LaSalle. Fees vary depending on service required.

SECURITY

Q: Is security required for all events?
A: Yes. A bonded and licensed security firm must be used, at the expense of the Permittee. (Please see the list of Approved Security firms.)

Q: Do you require use of MTA police for security?
A: No. Bonded and licensed security firms may be used by Permittee. MTA Police reserves the right to assign an officer to an event as neeeded.

SIGNAGE/MATERIAL DISTRIBUTION

Q: Can I put up signage throughout Grand Central Terminal for my event?
A: No.

Q: Can I hand out material throughout Grand Central for my event?
A: No.

Q: Can I hand out material outside Grand Central about my event?
A: All permits for sidewalks outside Grand Central are handled through the New York City Department of Transportation. Please call NYC DOT directly at (212) 225-5368
